How far in advance should you book an interactive exhibition stall build?
TL;DR: Most exhibitors start the interactive-stall conversation two to three weeks before the show — right when it's too late to build anything custom. Design, build, and testing each take real time, and they happen in sequence, not in parallel. If you want something more than an off-the-shelf format, the lead-time conversation needs to start when you book your stall space, not after your booth design is done.
We get the same call every show season: "the exhibition is in three weeks, can you build us something interactive?" Sometimes the answer is yes, with a format we've already built before. Often the honest answer is that what they're picturing needed to start a month ago.
Nobody's being unreasonable — exhibitors just don't have a reason to know how long a build actually takes, because nobody tells them until it's too late to matter.
Why does an interactive stall need more lead time than a banner or backdrop?
Because a backdrop is one step: design it, print it, ship it. An interactive build is at least three steps that each depend on the last finishing first — design the mechanic, build and program it, then test it end-to-end before it ever meets a real visitor. You can't compress that into a single sprint the week before doors open, because each stage exposes problems the next stage has to fix.
Skip the testing stage under time pressure and the failure shows up on the show floor, not in a rehearsal — which is the one place you can't afford it.
What's the actual lead-time breakdown by build size?
Using the same S/M/L effort tiers we use internally:
- Small (S) — off-the-shelf or lightly customised formats: 2–3 weeks. These reuse a mechanic we've already built and tested; only the branding and content are new.
- Medium (M) — a customised interactive display or game: 4–6 weeks. New mechanic or new hardware integration, one full design-build-test cycle.
- Large (L) — a full custom concept or multi-zone activation: 8–12 weeks. Concept development alone can take as long as an S-tier build takes end to end.
The rule of thumb: the moment you're describing something we haven't built before, add real weeks, not days.
What happens if you come to us later than that?
You're not out of options — you're out of custom options. What's still on the table:
- An existing format, reskinned with your branding (fast, because the mechanic is already tested)
- A smaller, simpler version of what you wanted, scoped to what actually fits the remaining time
- The full idea, pushed to your next show instead of this one
What's off the table is a brand-new mechanic built and properly tested in under two weeks. We can build fast; we can't safely skip testing.
What should you actually do when you book your stall space?
Start the interactive conversation at the same time, even before your booth design is finalised. You don't need a finished brief — you need the mechanic decision to be in motion, because that's the part with the longest runway. Everything else (branding, copy, booth layout) can catch up later without cost.
Frequently Asked Questions
Does a longer lead time mean a bigger budget?
Not necessarily — an S-tier build with more lead time still costs S-tier money. Lead time buys you design and testing time, not extra spend.
What if I only decide I want interactivity a week before the show?
Ask what's already built and tested. An honest vendor will tell you which existing formats can be turned around fast, rather than promising something custom they can't actually deliver safely.
Does lead time change for a second or third show using the same build?
No — once a mechanic exists and is tested, reusing it for another show is closer to an S-tier turnaround, regardless of the original build's tier.
Is this different for shows outside Mumbai or abroad?
The build timeline is the same; add logistics time on top for shipping and on-ground setup in a new city.
